Service scope

What's included

We take on the work with the same management responsibility as an in-house IT Manager: strategic decisions and oversight of routine IT across the areas below. Day-to-day technical execution stays with the hotel's in-house team or MSP.

Acting directly as IT Manager

We act directly as your hotel's IT Manager, accountable for the IT team, suppliers, budget and results.

Team and MSP coordination

Setting priorities for the in-house team or MSP, tracking their performance and holding the people responsible for technical delivery to account.

Suppliers and procurement

Management of suppliers, procurement and negotiation of technology contracts.

IT budget

Owning the technology budget: planning, approving spend and reporting against it to management.

Infrastructure savings

Savings on IT infrastructure through consolidation and renegotiation of contracts.

Monitoring and SLAs

Following up on monitoring, incidents and supplier SLAs, so problems are escalated and resolved rather than left open.

Operational continuity

Continuity of operations during transitions, staff departures or large migration projects.

IT roadmap

Building and running the hotel's technology roadmap, with responsibility for priorities, deadlines and results.

Our team has run IT for international hotel groups, such as PPHE Hotel Group, before HotelTI. Minimum engagement of three months, with the option of an ongoing fractional contract.

Deliverables
  • IT roadmap, with responsibility for running it and for the results
  • Report on technology suppliers and contracts
  • Continuity plan for staff transitions
  • Regular progress reports
  • Documentation of processes and technical decisions

When a Virtual IT Manager makes sense

There is no need to wait for a crisis to bring in this leadership. The most common signs are:

  • The hotel has grown and IT still depends on one person juggling many tasks, with no time to plan beyond the day to day
  • A PMS, network or infrastructure migration is under way without a senior person dedicated to it
  • The person responsible for IT has left and the hotel needs immediate continuity while it decides the next step
  • Technology suppliers are managed reactively, with nobody assessing contracts, SLAs or performance
  • The leadership team wants a clear technology roadmap, but nobody in-house has the time or experience to build it
  • A new build or renovation requires technical decisions the current team has never made before

Why this matters for your hotel

Hiring a senior IT Manager takes months and creates a permanent fixed cost. Hotels without senior IT leadership, or with in-house technicians but no one to make the decisions, often need this leadership to drive technology modernisation, manage suppliers or keep the role covered during a transition. We take on the role directly, with responsibility for strategy, coordination and results, while your team looks after day-to-day operations.

The service can be contracted on an interim basis, to cover a departure, a migration in progress or a project that needs senior ownership, or on a fractional basis, with dedicated days each month to manage the IT roadmap, supplier relationships and progress meetings, without the commitment of a full-time salary.

How it works

  1. First conversation: a meeting of about 30 minutes to understand your hotel's situation, gaps and timeline, with no preparation needed.
  2. Scope: we propose the format (interim or fractional), the level of commitment and a start date, normally within 48 hours.
  3. In the role: engagements are planned to start within about two weeks of agreement, with a clear work plan from day one.
FAQ

Frequently asked questions about the Virtual IT Manager

What is a Virtual IT Manager?

A senior professional who takes on a hotel's IT Manager role directly, with responsibility for technology strategy, budget, suppliers and roadmap, without holding a full-time in-house position. They can work on a fractional basis (recurring dedicated days) or an interim basis (covering a departure or a specific project, with a defined handover).

When should a hotel hire a Virtual IT Manager?

The most common signs are: the hotel has grown and IT still depends on one person juggling many tasks with no time to plan; a system or infrastructure migration is under way without a dedicated senior owner; the person responsible for IT has left and immediate continuity is needed; or the leadership team wants a clear technology roadmap but nobody in-house has the time or experience to build it.

How much does a Virtual IT Manager cost for a hotel?

There is no fixed price: the cost depends on the format (fractional or interim), the level of commitment needed, the size of the hotel and whether there is more than one property to coordinate, whether there is already an in-house technical team or an MSP to manage, and the number of systems and suppliers the role is responsible for. Even so, it is well below the total cost of a full-time senior hire, which includes salary, employment costs and benefits. We define the scope, the level of commitment and an investment estimate, normally within 48 hours of the first conversation.

What is the difference between a Virtual IT Manager and an MSP?

An MSP (managed service provider) delivers day-to-day technical support: maintenance, tickets, infrastructure. The Virtual IT Manager holds the leadership role: sets strategy, budget and priorities, negotiates with and manages suppliers (including the MSP itself, where there is one) and answers for IT to the leadership team. Many hotels use both roles together, each covering a different area.

When does an in-house IT Manager make more sense than a Virtual IT Manager?

When the operation has reached a size that needs constant physical presence: several properties to coordinate on the same day, an in-house technical team large enough to need direct and continuous management, or an operational routine that depends on someone being on site at any hour. For most independent hotels and small groups, the volume of IT leadership work does not justify a full-time role, and the fractional or interim format covers the same responsibility for a fraction of the cost.

Does a Virtual IT Manager replace the hotel's IT team?

No. The Virtual IT Manager takes on leadership and strategic responsibility, but day-to-day technical execution stays with the in-house team or the MSP the hotel has contracted. Where there is no technical team, we help select and contract whoever will do the hands-on work, and then monitor how that contract performs.
