Hotel Technology Project Management
We run your hotel's technology projects from start to finish: system migrations, renovations, new builds and complex implementations, with defined scope, timeline and budget, and one person accountable for delivery. This is the service for when you already know which project needs to happen. If the technology for a build or renovation still needs to be planned, start with New Builds and Renovations.
What's included
Unlike ongoing IT management, a project has a defined beginning, middle and end. We take full ownership of delivery across the areas below.
Defined scope and timeline
Objectives, deliverables and deadlines formalised before the project starts, with no open-ended scope.
Supplier coordination
Management of every technical supplier involved in the project, with a single point of contact for the hotel and a clear split between what stays under the hotel's control and what each supplier is responsible for.
Budget management
Tracking costs against the approved budget, with early warning of any deviation.
Testing and validation
A test plan and clear acceptance criteria before any system goes live.
Project risk management
Early identification and mitigation of technical and schedule risks throughout delivery.
Stakeholder management
Keeping owners, the GM, front office, F&B, finance and engineering aligned, with regular progress reports and no surprises on scope, timeline or budget halfway through.
Post-project transition
Complete documentation and an organised handover to the team or supplier taking on ongoing operations.
Quick start, no red tape
Mobilisation planned within about two weeks, with scope and timeline defined in the first meetings.
- Project plan with scope, timeline and budget
- Regular progress reports to leadership
- Complete technical documentation of what was implemented
- Test plan and acceptance criteria
- Documented handover to ongoing operations
Why this matters for your hotel
Migrating to a new PMS, integrating a new payment system, setting up IT for a new property or renewing infrastructure during a renovation are projects with a beginning, middle and end, but they rarely have someone dedicated solely to running them. Without a single person accountable for delivery and a clear scope from the outset, these projects tend to drag on: deadlines slip, the original budget stops reflecting reality and the hotel's team ends up split between day-to-day operations and running the project. We take on that role directly, with responsibility for timeline, budget and quality of delivery, while your team stays focused on running the hotel.
To get a sense of how wide that scope is, see our technology checklist for hotel construction and renovation: more than 200 items in 24 categories, from network infrastructure and the IT room to PMS, payments, physical security and cybersecurity, each usually in the hands of a different supplier. Coordinating those dozens of suppliers through to delivery, with nothing left without an owner, is exactly what this service does.
This service is different from ongoing IT management and the Virtual IT Manager: here, the engagement has a scope and an end date defined from the start, focused on a specific project rather than the recurring management of infrastructure. Compared with New Builds and Renovations: there, the technology still needs to be planned as part of the construction; here, the project is already defined and the hotel needs someone accountable for delivering it.
How it works
- First conversation: we understand the goal, the target timeline and the budget constraints of your project.
- Plan: we formalise the scope, timeline, budget and suppliers involved within one week.
- Delivery: we run the project through to go-live, with regular reports and a documented handover at the end.

Frequently asked questions about hotel technology project management
Who can manage a hotel technology project?
Ideally, someone with experience in both hotel technology and project management, dedicated solely to delivery: scope, timeline, budget and supplier coordination. Without that dedicated focus, the project is usually split between the existing IT team and day-to-day operations, and neither gets the attention it needs.
How is a PMS migration project managed?
It starts with defining scope and timeline before any contract is signed, a process that usually takes 6 to 12 weeks from kick-off to post-go-live stabilisation, followed by coordination between the new PMS supplier, the systems that need to integrate with it (POS, booking engine, channel manager) and the hotel's team. Deciding which system is the source of truth for availability on each channel during the parallel run avoids the main risk of a migration: overbooking caused by two systems selling the same room.
How do you coordinate several suppliers on a hotel technology project?
With a single point of contact accountable for delivery and a clear split of responsibilities from the start: what stays under the hotel's control and what each supplier is responsible for. Without that explicit split, problems often end up with no owner, with each supplier pointing at the other.
How can delays on hotel technology projects be avoided?
By formalising scope, timeline and budget before the project starts, not during delivery. Most delays come from open-ended scope, poorly mapped dependencies between suppliers and the lack of one person tracking progress. Regular reports to leadership and active risk management throughout the project make it possible to act on deviations early, before they turn into delays.
What is the difference between technology project management and ongoing IT management?
Ongoing IT management (or the Virtual IT Manager) looks after recurring operations: infrastructure, suppliers, the annual budget, with no set end date. Project management has a scope and timeline defined from the start, focused on a specific delivery such as a system migration, a renovation or the opening of a new hotel, and ends with a formal handover once the goal is reached.
How is the handover done at the end of a hotel technology project?
With complete technical documentation of what was implemented (configurations, integrations and confirmation that the credentials are in the hotel's name) and an organised transition to whoever takes on ongoing operations, whether the in-house team, an MSP or a Virtual IT Manager. The goal is that no critical project knowledge stays only in the head of the person who delivered it.
