Why choosing a PMS is an IT decision, not just an operational one

It is common for a hotel to choose a PMS by comparing screens, monthly price and front desk features, and only later discover that the integration with the booking engine, the channel manager or the payment provider is limited, expensive to configure, or not available natively. By then the decision has been made, and switching again costs time, money and the risk of errors when migrating guest data.

That does not mean the operations team should not take part in the choice, quite the opposite. It means the technical criteria (open API, quality of integrations, data security and real support in Brazil) need to carry the same weight in the evaluation as price and usability, because they determine whether the hotel will be able to grow on top of the chosen system or end up locked into it.

The criteria that set one PMS apart from another

  • Open, documented API: lets you connect the PMS to a booking engine, payment gateway or AI tool without depending solely on the ready-made integrations the supplier itself has chosen to offer. It is not enough for the supplier to say it has an API: ask for the documentation and a test environment (sandbox), and ask how authentication works, whether there are webhooks for events such as bookings and payments, what the call limits are, how API versions are maintained and how much notice is given before they change, how much each integration costs, who pays for custom development and how support works when an integration stops.
  • Quality of the built-in or integrated channel manager: prevents overbooking and rate inconsistencies between OTAs, the hotel's own website and the front desk.
  • Where data is stored and processed: relevant both for performance and for compliance with the LGPD (Brazil's data protection law), especially if the supplier processes data outside Brazil.
  • Data protection clauses in the contract: when the PMS processes guest data on the hotel's behalf, the contract should set out each party's obligations under the LGPD. A supplier that resists signing these clauses is a warning sign, not an administrative detail.
  • Data export process: what happens to the guest history if the hotel decides to change PMS three years from now.
  • Sending the FNRH Digital: the PMS, or a system integrated with it, needs to be able to send the Ficha Nacional de Registro de Hóspedes (Brazil's national guest registration form) to the Ministry of Tourism's system by integration, without re-keying at the front desk. Ask to see the submission working, not just the promise in the contract.
  • Issuing NFS-e and NFC-e: accommodation is invoiced with an NFS-e (electronic service invoice), whose issuance still depends on each municipality's rules and system, in transition to the national standard, and the restaurant and bar with an NFC-e (electronic consumer invoice). Confirm that the PMS (or the tax system integrated with it) issues invoices for your municipality without a parallel spreadsheet.
  • Cloud or on-premises server: a cloud PMS takes the server, backups and updates off the hotel's hands, but becomes dependent on the internet, which calls for a second connection. An on-premises server works without the internet, but leaves maintenance, backups and the security of the equipment with the hotel.
  • Local technical support: real response times in Portuguese, not just documentation in English and an automated chat.

Where Pix fits into direct booking

Direct booking with Pix reduces dependence on OTA commission and gives the hotel more control over the payment flow, but it only works well when the integration is automatic from end to end. The recommended model follows three steps:

  1. The booking engine generates the Pix charge (QR code or copy-and-paste code) through a payment provider's API, linked to the booking number.
  2. The payment provider notifies the system of the payment confirmation by webhook, in real time, as soon as the amount is settled.
  3. The PMS receives that confirmation automatically and updates the booking status, with no manual intervention from the reservations team.

This model removes exactly the step that scammers exploit in the manual flow: the moment when a staff member visually checks a Pix receipt sent by the guest, a receipt that can easily be forged with image editing tools. If your team still confirms booking payments by looking at receipt screenshots, the problem is not the team's lack of attention, it is the absence of this automatic integration.

Migrating PMS without opening security gaps

Changing systems is when the most security gaps are created silently, because the team's attention is on keeping the operation running, not on tying up loose ends. The full step-by-step is in the guide on how to plan a PMS migration (in Portuguese); from a security point of view, make sure the plan covers:

  • The exact date when all access to the old PMS ends, including supplier accounts and third-party integrations.
  • A review of every existing integration (booking engine, channel manager, restaurant POS (point of sale)) to reconnect them to the new system one by one, instead of assuming "everything will keep working".
  • Secure export of historical guest data from the old system, with control over who has access to the exported file during the transition.
  • Testing the payment integration (including Pix) in a staging environment before releasing real bookings on the new system.
  • Testing the FNRH Digital submission and invoice issuance before the first real check-in on the new system.

A note on neutrality when choosing a supplier

There is no absolute "best" PMS: the right choice depends on the size of the hotel, the complexity of its rates, its sales channels and the IT budget available. An independent evaluation, with no ties to suppliers, compares the options against the technical criteria above instead of recommending the brand with the best commercial partnership programme. At HotelTI, we have no agreements with specific suppliers, and any supplier commission is only discussed after the hotel has agreed its price, without changing that price, and is always disclosed to the hotel.

Next steps

Choosing or changing PMS, and integrating Pix automatically into direct booking, are projects where an independent technical view before signing the contract pays off. What is the best PMS for a mid-sized hotel in Brazil?

There is no single ideal PMS for every mid-sized hotel: the right choice depends on the number of rooms, the complexity of the rates, the sales channels used and the systems that already exist (booking engine, channel manager, point of sale). The most reliable criterion is not the PMS brand, but the quality of the integrations it offers through an open API and the real technical support available in Brazil, something worth assessing with an independent consultant before signing a contract.

How do you integrate Pix into direct booking without relying on manual confirmation?

The direct booking engine needs to connect to a payment provider with Pix through an API, which generates a charge with a QR code or copy-and-paste code linked automatically to the booking, and confirms the payment back to the PMS by webhook as soon as the amount is settled. This removes the manual step in which a staff member checks the receipt sent by the guest, which is exactly the point exploited in scams with forged receipts.

Is changing PMS risky for the security of guest data?

It can be, if the migration is not carefully planned. The main risks are exporting historical guest data insecurely, access accounts for the old PMS that remain active after the switch, and old integrations (booking engine, channel manager) left connected to the previous system. A migration plan should formally end access to the old PMS and review every integration on the day of the cutover.

What should you check technically before signing a contract with a new PMS?

Beyond price and features, confirm whether the PMS offers an open, documented API (not just closed integrations chosen by the supplier), where guest data is stored and processed, whether the supplier accepts a processor clause under the LGPD, and what the data export process is if the hotel decides to change systems in the future.

How much does a hotel PMS cost?

It depends more on the charging model than on the brand. Cloud PMSs charge a monthly subscription, usually per room or per band of rooms, with modules (booking engine, channel manager, POS) sold separately or as a bundle. Systems installed on the hotel's own server charge a one-off licence plus annual maintenance, and the hotel still pays for the server, backups and updates. Outside the monthly fee are the costs that surprise people most: implementation fees, migrating data from the old system, staff training, each integration charged separately, per-transaction fees on the booking engine or gateway and, at the end of the contract, a charge to export the data. Compare the total cost over three to five years, with these items listed in writing, not the monthly fee in the proposal.

Is it worth having your own booking engine instead of relying only on OTAs?

In general, yes, because direct booking reduces the commission paid to OTAs and gives the hotel more control over the payment method, including Pix. The point to watch is that this independence requires the hotel to take technical responsibility for the payment integration and the security of its own website, responsibilities that, in the OTA model, fall to the platform.
